Quick Key for GL Codes

Rather than typing in the full GL string, you can use a period as a delimiter. The period goes in the place where you want the break. Once you tab out of the field, the full string appears. You can use this when doing data entry or just an inquiry! This also applies when using templates to upload your data.

Here are a few examples:

01-041-403-000-6400 would be entered as 01041403.6400

01-101-000-0000-6400 would beentered as 01101.6400

76-880-000-8001-6802 would beentered as 76880.80016802

Upload/Download

There are templates available for uploading receipts, vouchers, claims, and journal entries. Your IFS user admin will need to allow access, but these templates allow a user to quickly upload numerous transactions at once. This is useful when the data is repetitive in certain fields! The template will include sample data as a reference, so make sure to clear the cells before adding your data. Each cell also has a “Help” tab with instructions.

User Group Peer Support

Do you ever have a question and are not sure who to ask, or want to know how other Counties handle it? There is a Peer Support Request option available as a resource, which allows you to ask that burning question to everyone! Visit the MnCCC website under the IFS User Group menu option or click here: Submit a Peer Support Request

User Tracking in File Maintenance

The latest IFS release now gives the ability to track User changes. You will need access to the User Maintenance option to run the report. You can run the report for a specific User or All as well as a specific date range. For example, this new feature could be added to your month-end procedures as an internal control feature.

MnCCC Conference

The IFS Training Committee has chosen to forgo spring training, but will offer training and the All-IFS User Group meeting at the MnCCC Conference.

The Training Committee is requesting input from IFS Users for what they want to see at the Annual Conference. As a bonus, you get an opportunity to test out the Peer Support Request form! If you have any ideas, please submit them here and the Committee will review them at their next meeting on February 12, 2025.
